Which workflow should I use?

Each device can use a different workflow, depending on your team structure. For example, pickers can use “Picking Only”, while supervisors or packers use “Picking and Packing” or “Packing Only”.

Workflow Best for Things to consider
Picking and Packing Small teams or single operators who pick, pack and print labels themselves. Simple and fast with no handover. Works best when the same person can move between picking locations and packing benches.
Picking Only Larger teams with dedicated pickers who prepare orders for a separate packing team. Allows pickers to focus on accuracy and speed. Requires totes, carts or a staging area to hand orders over cleanly.
Packing Only Environments where picking and packing happen in the same place (e.g. storerooms, shop-floor fulfilment, micro-warehouses). You don't use a separate “picked” state — you scan items as you pack. Ideal when stock is nearby and you want a single, streamlined workflow.

Use the recommendations below to choose which features to enable, then follow the workflows to see how the app fits into your daily routine.

These optional features can improve speed and accuracy. You don’t need all of them — choose the ones that match how your warehouse operates.

Feature Recommended when Why it helps
Tote Picking
  • You pick multiple orders at once
  • Pickers move with trolleys or carts
  • You need clean separation between orders
Keeps items grouped per order and reduces mis-picks. Works best with "One order per tote" and "Must scan tote to place items".
Bulk Picking
  • You pick 5–20 orders from the same area
  • SKUs are grouped together in your layout
Reduces walking time by picking several orders in one pass. Best combined with tote picking.
Enforce Scanning Only
  • You want to avoid manual picking errors
  • All items have reliable barcodes
  • Staff rotate frequently or require strict accuracy
Removes tap-to-pick actions so every item must be scanned.
Package barcode scanning
  • You ship multi-parcel orders
  • You use barcoded satchels or cartons
  • You want parcel-level tracking
Lets staff add or replace packages by scanning a package barcode. Ideal for mixed or high-volume packing benches.
Picture of Packed Goods
  • You ship high-value, fragile or disputed items
  • You need proof of packing for customers
  • You operate as a 3PL
Stores photos against the order as proof. Use "Require photo" for strict audit requirements.
Printed / Shipped Validation
  • You want a final QC check before dispatch
  • Many packers work at once
  • You want to reduce mis-shipments
Adds extra scanning steps to verify shipments before they leave the building.
GS1 barcode scanning
  • You need to capture batch/expiry/serial details
  • You sell regulated or perishable items
Automatically reads GTIN, batch, expiry, serial and SSCC data and attaches it to the order.

Combine these recommendations with the workflows below to tailor the app to your day-to-day operations.

Picking and Packing Picking Only Packing Only

  1. Start your shift and open the app
Make sure your mobile device is charged and connected to Wi-Fi. Open the Starshipit Pick & Pack app and confirm you’re on the correct account. Set up your trolley, totes or carts so you’re ready to move picked items to the packing area.

  2. Plan which orders to work on
Go to the Picking tab. Use filters and sorting to focus on the orders you want to pick first (for example, express orders or oldest orders). You can also scan an order barcode from a packing slip to jump straight to an urgent order.

    • To pick in batches, long-press on an order to turn on multi-select, then select additional orders to pick together.
    • If your team uses totes, assign each order to a tote so items stay separated while you move around the warehouse.
  3. Pick items using the digital list and scanner
Open an order (or batch) and use the order details screen as your digital picking list as you walk the aisles.

    • Tap the barcode icon and scan product barcodes or GS1 labels to confirm each item as you pick it.
    • The picked quantity updates on the screen so you can see what’s still outstanding.
    • If some items aren’t available, pick what you can and save the order as partially picked so you can finish it later.

When you’ve picked everything that’s ready for that order, tap the option to Complete picking. The order is marked as picked in Starshipit and moves to your packing queue.

  4. Move picked orders to the packing area
Take the picked items or totes to your packing station. Because the app has marked these orders as picked, they now appear on the Packing tab as ready to pack. This keeps a clear separation between work that is still in picking and work that is ready for packing.

  5. Open an order to pack
Switch to the Packing tab. To load the order you’re packing:

    • Scan the order barcode from the packing slip, or
    • Scan the tote ID if the order was picked into a tote, or
    • Search for and tap the order in the list.

The order details screen shows all items and quantities that should go into the shipment.

  6. Validate items as you pack
As you pack items into cartons or satchels:

    • Tap the barcode icon and scan each product to confirm it matches the order.
    • For GS1-labelled products, scan the GS1 barcode to update quantities and capture extra details such as batch or expiry (where used).
    • If the order needs more than one carton, scan package barcodes to record each extra parcel on the order.

This helps ensure the contents of each shipment match what was ordered, even for complex or multi-parcel orders.

  7. Capture photos of packed goods (optional)
If your workflow includes photos, use the image section on the packing screen to take pictures of the items in the carton or the sealed box.

    • The photo is uploaded to the order in Starshipit.
    • You have a visual record of what was packed, which helps with training, quality checks and resolving delivery disputes.
  8. Complete packing and print the label
When everything for that shipment is packed and confirmed:

    • Tap Complete packing or the ship-and-print action in the app.
    • The app creates the shipment in Starshipit and generates the shipping label.
    • The label prints on your connected printer or via the Starshipit Print Client, depending on how printing is set up.

Attach the label to the carton so it’s ready to move to your dispatch area.

  9. Optional: run final checks before dispatch
If your team uses validation tabs, you can perform extra checks before orders leave the warehouse:

    • Use the Printed tab to double-check labelled cartons before sealing or loading them.
    • Use the Shipped tab to audit selected orders after they’ve been manifested.

Once checks are complete, move cartons to your dispatch area for courier collection.

  10. Start your shift in the Picking tab
Open the Starshipit Pick & Pack app and go to the Picking tab. In this workflow your job is to pick orders accurately and hand them over to the packing team or packing system.

  11. Choose which orders to pick first
Use the order list to plan your work:

    • Filter by date, source or status to see the orders that matter most right now.
    • Sort by oldest, newest or number of SKUs to match how your warehouse is set up.
    • Scan an order barcode from a pick slip to jump straight into an urgent order.
  12. Pick items with the digital list and scanner
Open an order and use the order details screen as your digital picking list.

    • Tap the barcode icon and scan product barcodes as you move through the warehouse.
    • The app confirms each scanned item and updates the picked quantity.
    • If some items aren’t available, pick what you can and leave the rest to be picked later.

When you’ve finished an order, tap the option to Complete picking. The order is marked as picked in Starshipit so the packing team knows it’s ready.

  13. Use batch picking and totes (optional)
For higher volumes, you can pick multiple orders at the same time:

    • Long-press on an order to turn on multi-select, then choose a group of orders to pick together.
    • If your warehouse uses totes, assign one tote per order and place items into the correct tote as you move through each aisle.

This reduces walking time and makes it easier for packers to grab a tote and pack the order straight away.

  14. Stage picked orders for packing
    As you complete picking:

    • Move totes, carts or picked items to the designated packing area.
    • The packing team can then use Starshipit (web or mobile) to pack and print labels, using the “picked” status as confirmation that items were already picked via the app.

If you use a staging area, group totes or carts by courier, destination or cut-off time to help packers prioritise.

  15. Handle partial picks and exceptions
Not every order will be perfect:

    • If stock is short, pick what you have and save the order as partially picked.
    • Let your supervisor or the packing team know which orders are partial so they can decide whether to ship a partial order or wait for the remaining items.
    • If items are damaged or missing, note the order number so it can be investigated.
  16. Review your picking queue before you finish
At the end of your shift:

    • Check the Picking tab for any orders you started but didn’t complete.
    • Make sure partially picked orders are clearly understood by the rest of the team.
    • Confirm any remaining totes or carts are labelled and left in the correct area for packers.

This helps the next picker or packing team know exactly what’s ready and what still needs work.

  17. Set up your packing station
Make sure your packing bench is stocked with cartons, satchels, tape and labels. Open the Starshipit Pick & Pack app and go to the Packing tab. In this workflow your job is to take already-picked items and turn them into correctly packed, labelled shipments.

  18. Receive picked orders from the warehouse
Picked items arrive at your station in totes, on carts or with printed pick slips. On the Packing tab you’ll see orders that are ready to pack. Use filters or search to focus on the orders that have arrived at your bench or are due first.

  19. Open the order you’re packing
To load an order in the app:

    • Scan the order barcode from the packing slip, or
    • Scan a tote ID if the order was picked into a tote, or
    • Search for and tap the order in the list.

The order details screen shows all items and quantities expected in the shipment.

  20. Validate items as you pack
As you move items from the tote or cart into a carton or satchel:

    • Tap the barcode icon and scan each product to confirm it matches the order.
    • For GS1-labelled products, scan the GS1 barcode to update quantities and capture extra details such as batch or expiry (where used).

If only some of the items are ready to send, you can pack what you have now and leave the rest for a later shipment.

  21. Set packaging, carrier and parcels
    Before completing the shipment:

    • Tap the packaging section to choose the right box or satchel for the order.
    • Tap the courier/service section to select how you’re sending the order.
    • If the order needs multiple cartons, scan package barcodes to record each additional parcel.

These details are sent back to Starshipit so labels reflect the correct packaging and number of parcels.

  22. Capture photos of packed goods (optional)
If your operation uses photos for proof of packing:

    • Use the image section on the packing screen to take a photo of the items in the carton or the sealed box.
    • The photo is attached to the order in Starshipit, giving you a visual record of what was sent.

This is especially useful for high-value, fragile or high-risk shipments.

  23. Complete packing and print the label
When everything for that shipment is in the box and confirmed:

    • Tap Complete packing or the ship-and-print action in the app.
    • The app creates the shipment in Starshipit and generates the shipping label.
    • The label prints on your connected printer or via the Starshipit Print Client, depending on how printing is set up.

Stick the label on the carton so it’s ready to move to dispatch.

  24. Final checks and dispatch
    Before orders leave the warehouse:

    • Place completed cartons in your dispatch area, grouped by courier or run if needed.
    • If your team uses validation tabs such as Printed or Shipped, use these to run spot checks or audits before collection.

Once checks are done, the orders are ready for courier pickup.
