Managing users, rules, and configuration

Manage users, shipping rules, and tags across your account network. Invite users, copy rules, check rule parity, and sync tags in bulk.

This article covers the admin tasks for keeping your account network consistently configured: managing who has access, maintaining shipping rules, and keeping tags in sync across accounts.

Users

The Users page shows all accounts of type User. These are access management accounts, not shipping locations.

Inviting a new user

  1. Go to Users and select Invite user.
  2. Enter the user's email address.
  3. Choose which accounts they can access.
  4. Set their access controls.
  5. Send the invitation.

Bulk inviting or updating users

To invite or update many users at once, use the CSV options.

  • Bulk invite: your CSV should include each user's email address, the account IDs they can access, and their access controls.
  • Bulk update: use the same CSV format to update permissions and accessible accounts for existing users.

Editing an existing user

  1. Find the user in the Users table and select them.
  2. Update their accessible accounts or access controls.
  3. Save your changes.

Shipping rules

Rules are loaded from both the parent account and all manageable child accounts. Rules with the same content are grouped into a single row. You see one entry per unique rule, not one entry per account. Each grouped rule shows which locations and brands have it, using coloured chips to make it easy to track the same account across the list.

Finding rules

  • Filter by location or brand: narrow the list to rules belonging to a specific account.
  • Search: search by store name or by content within the rule.
  • Sort and resize columns to suit your view.

Copying and removing rules

Rule parity

Rule parity compares each child account against the parent as a baseline. Use it to find accounts that have drifted out of sync.

Status What it means
Matched The child account's rules match the parent.
Needs apply Rules from the parent are missing from the child and can be applied.
Needs review There are differences that require manual review before applying.
Load failed The account's rules could not be loaded.

When you open the parity detail for an account, you'll see a breakdown of:

  • Missing from child: rules on the parent that aren't on the child yet.
  • Extra on child: rules on the child that don't exist on the parent.
  • Blocked: rules that reference a tag that doesn't exist in the child account, or where the tag match is ambiguous. This is the most common reason rule copies fail.

Fixing a blocked rule

Tags have different internal IDs in each account, even when they share the same name. When a shipping rule references a tag by ID and that tag ID doesn't exist in the child account, the rule is blocked.

To fix it:

  1. Go to the Tags section.
  2. Find the tag the blocked rule uses. If the tag is missing from the child account, it will appear in fewer accounts than expected — look at the account chips on that tag row.
  3. Select Sync on that tag and choose the child accounts where it's missing.
  4. Once the tag exists in the child account, go back to Shipping Rules and retry the rule copy.

If the tag name is the same but the rule is still blocked, the child account may have multiple tags that could match. Resolve the ambiguity by removing duplicate tags from the child account before retrying.

Tags

Tags are loaded from the parent and all eligible child accounts. Tags with the same name are grouped together, so you see one row per unique tag name rather than one row per account. Each tag row shows which accounts already have that tag.

Creating a tag across accounts

  1. Go to Tags and select Create tag.
  2. Enter a tag name.
  3. Choose the accounts you want to create it in.
  4. Confirm. The tag is created in all selected accounts at once.

Syncing a tag to accounts where it's missing

If a tag exists in some accounts but not others:

  1. Find the tag in the list and select Sync.
  2. Choose the accounts where the tag is missing.
  3. Confirm. The tag is added to those accounts.

Any accounts that fail during the sync are listed separately so you can retry them.

Ship-from-Store Rules

The Ship-from-Store Rules page shows SFS rules across your parent account and child accounts. For each rule it displays the conditions, the target account, and which locations and brands have equivalent rules.

This page is for reviewing your SFS rule coverage, not for editing rules. You can see at a glance whether the same SFS logic is consistently applied across your network, but you cannot create, copy, or delete rules here.

Note

To create or modify Ship-from-Store rules, go to the individual account in Starshipit and edit its rules directly. Changes made there will be reflected here on the next load.
